Lab Flooring

Website redesign and operations platform

A flooring contractor running many sites at once. We redesigned their website and built the platform that now runs the business: crews, sites, materials, costs, margins and quotes, in one place.

The weekly schedule: every crew, every site, and suggestions for the job that still needs a crew.

The problem

Many sites, many crews, and no single picture.

Knowing who was working where meant phone calls and group texts. Real job costs were pieced together after the fact, and every quote started from scratch instead of from what similar jobs had actually cost.

  • Crew schedules lived in texts and memory
  • Rescheduling one job meant calling everyone
  • Hours and materials weren’t tied to a job
  • Margins were only known once a job was over
  • Quotes were estimates, not based on past jobs

The solution

One platform, from schedule to quote.

Every job, crew, hour and material lives in one system. The office plans the week, crews see it on their phones, and each finished job makes the next quote more accurate.

  • A weekly schedule across every site and crew
  • Reschedule once; crew phones update
  • Materials, hours and costs tracked per job
  • Margins visible while the job is still running
  • AI suggestions on which people work best together
  • Quotes built from comparable past jobs

Before and after

One job, from quote to the next quote.

Today

  1. 01Quote estimated from memory and a spreadsheetManual
  2. 02Crews booked by phone and group textManual
  3. 03A change means calling everyone againManual
  4. 04Hours and materials on paper, if at allManual
  5. 05Real cost and margin worked out after the jobManual

With the system

  1. 01Quote built from what comparable jobs costOffice
  2. 02Crew picked on the board, with suggested pairingsOffice
  3. 03Changes reach each crew’s phone instantlyAutomatic
  4. 04Hours logged on site; materials tracked per jobCrew
  5. 05Margin tracked live against the quoteAutomatic
  6. 06The finished job improves the next quoteAutomatic

How it fits together

One system the office and the crews share.

Connects to

  • Job requests from the new website
  • Crew availability
  • Hours logged by crews on site
  • Material orders and supplier prices

What we build

Lab Operations

  • Scheduling
  • Job costing
  • Crew insights (AI)
  • Quoting

Delivers to

  • Crew phones: where, when, with whom
  • Live margins per job
  • Quotes to clients
  • Owner’s overview

Job costing

Every job’s real cost, while it’s still running.

Hours from crew phones and materials from orders roll up against the quote, so a job drifting over budget shows up on day two, not after the invoice.

For the crews

Where to be, who with, and what’s on site.

Each installer sees today’s job, the address, who they’re working with and whether materials have arrived. Reschedule in the office and their phone updates. Hours are logged from the job.

AI crew insights

Learns who works best together.

By comparing logged hours with estimates on finished jobs, the platform learns which pairings are fastest on each kind of floor, and suggests them when scheduling. A project manager always makes the call.

Quoting

Quotes built from what jobs actually cost.

Labour is estimated from the logged hours of comparable past jobs and materials from current supplier prices, and the margin target is applied before anything goes out.
